WPForms notifications not sending: how to fix them
A checklist for WPForms notification emails that never arrive: the Notifications settings, the From Email warning, spam settings, caching and SMTP.
- Updated
Short answer
When WPForms notifications don't arrive, first check the form's Settings » Notifications: Enable Notifications must be on and Send To Email Address must hold the right address, not an old {admin_email}. Then make sure the From Email is on your own domain and the entry wasn't marked as spam. If WP Mail SMTP's test email also fails, WordPress can't send email, and an SMTP plugin is the fix.
Key takeaways
- A submission WPForms marks as spam is never emailed, so check Entries » Spam before blaming your inbox.
- The {admin_email} smart tag sends to WordPress's admin address, which is often the developer or an old mailbox.
- The From Email domain warning is worth fixing: some providers block mail from a mismatched domain.
- If a test from WP Mail SMTP fails as well, the problem is WordPress's email, not WPForms.
- WPForms Lite keeps no entries in WordPress, so a lost email there is a lost enquiry.

Where should you start when WPForms notifications don't arrive?
Start by sending a test submission yourself and working out how far it got: was the form submitted, was the email sent, and did it land somewhere you didn't look? The answer tells you which section below to read.
Fill in the form as a visitor would, using an email address that isn't the one the notification goes to.
Look in the spam or junk folder of the address the form sends to, and search the whole mailbox for the form's name.
If you have a paid WPForms licence, open WPForms » Entries. An entry there means WPForms received the submission and the email is the problem. No entry, or one under Spam, points to the form or its spam settings.
Install WP Mail SMTP (the free version is enough) and send a message from WP Mail SMTP » Tools » Email Test. If that fails as well, WordPress can't send email at all, and no WPForms setting will fix it.
WPForms Lite doesn't store entries in WordPress, so if the notification email goes missing, the enquiry goes with it. If you're on Lite, switch on Lite Connect, which backs up your entries so you can see them if you upgrade.
Are the form's notifications switched on and addressed correctly?
Open the form in the form builder and go to Settings » Notifications. Enable Notifications must be on, and each notification must show as Active. Both are easy to switch off while testing and then forget.
Next, check Send To Email Address. By default it holds the {admin_email} smart tag, which means the Administration Email Address in WordPress under Settings → General. That is often the developer who built the site, or an old address nobody reads. Replace the smart tag with the address you want, or update the WordPress setting; WordPress only switches to a new admin address once it has been confirmed from that inbox.
Separate several addresses with commas, and read the field character by character. WPForms' troubleshooting guide asks you to check for typos and extra spaces.
If the notification uses conditional logic (a feature of the paid licences), it only sends when its condition is met. A rule such as "send when Service is Boiler repair" means every other enquiry sends nothing. Test with answers that match the rule, or switch the logic off while you find the fault.
Is the From Email on your own domain?
The From Email should be an address on your website's domain, such as [email protected]. When it isn't, WPForms shows "The current From Email does not match your website domain name" under the field. WPForms' own documentation says some providers flag such emails as spam or block them entirely.
The default From Email is the WordPress admin address. If that is a Gmail or Outlook.com address, every notification claims to come from Gmail while leaving your web server, which is what forged email looks like. Change it to an address on your domain, and put the visitor's email field in Reply-To with its smart tag, so pressing Reply still writes to them.
If WP Mail SMTP's Force From Email setting is on, the From Email field in WPForms may be disabled, because the SMTP plugin's address wins. Set the address there instead.
Is WPForms marking the submission as spam?
A submission that WPForms flags as spam is still saved when "Store spam entries in the database" is on, but its notification emails don't go out. If a genuine enquiry was caught, its email was never sent, so no mail setting will bring it back.
The spam settings are under Settings » Spam Protection and Security in the form builder. Look at each in turn:
Modern anti-spam protection is on by default and needs JavaScript. WPForms notes that optimisation plugins can interfere with it.
Minimum time to submit is on by default at 2 seconds. Raising it catches more bots, but too high a value can catch quick, genuine visitors.
Akismet, a CAPTCHA (reCAPTCHA, hCaptcha or Cloudflare Turnstile), the country filter and the keyword filter each add another check that can catch a real enquiry.
To see what was caught, open WPForms » Entries, choose the form and click Spam. Marking an entry Not Spam moves it back to Entries and sends its notification emails. Caching causes a related fault: if visitors see "Antispam token is invalid", your page cache is outliving the form's token. For spam fighting in general, see how to stop contact form spam without losing real enquiries.
Can WordPress send the email at all?
If the notification settings are right and nothing was marked as spam, WordPress itself probably can't send or deliver the email. WPForms hands its emails to WordPress, which by default passes them to your web server's mail function. Many hosts limit that, and mail sent that way often ends up in spam.
The fix is an SMTP plugin, which sends through a proper mail service. WPForms' documentation recommends WP Mail SMTP, which is listed in the plugin directory as "WP Mail SMTP by WPForms", so it comes from the same team. FluentSMTP and Post SMTP do the same job. Our guide to setting up SMTP for WordPress contact forms compares them and walks through the set-up, and SPF, DKIM and DMARC in plain English covers the DNS records that keep mail out of spam.
While you're there, look at Optimize Email Sending under WPForms » Settings » Email. It queues notifications to send in the background. WPForms says it can delay emails substantially on low-traffic sites and isn't meant to fix delivery problems, and it's off by default. If your notifications arrive hours late, switch it off.
If you're still stuck, ask your web host whether PHP's mail function is blocked on your server, and what the mail logs show for the time of your test.
What are the common faults and fixes?
Here is the whole checklist in one place, so you can work down it next time a notification goes missing.
- Notifications are switched off
- In the form builder, go to Settings » Notifications, turn on Enable Notifications and check each notification shows as Active.
- Emails go to an old address
- The {admin_email} smart tag sends to WordPress's Administration Email Address. Replace the tag with your address, or update Settings → General.
- A From Email warning under the field
- Use an address on your website's domain as the From Email, and put the visitor's email field in Reply-To.
- Only some enquiries arrive
- Conditional logic is stopping the rest. Check the rules match the answers people actually give.
- Real enquiries are marked as spam
- Open WPForms » Entries, choose the form, click Spam and mark them Not Spam, which sends their notifications.
- "Antispam token is invalid"
- Your page cache outlives the form's token. Set the cache lifetime to less than 48 hours.
- Notifications arrive hours late
- Switch off Optimize Email Sending under WPForms » Settings » Email.
- The SMTP test email fails too
- WordPress can't send email. Connect an SMTP plugin to a proper sending service, or ask your host whether PHP mail is blocked.
How can you stop missing the next enquiry?
Once notifications work, add a second way to hear about enquiries, because email can fail again later without warning. If your licence includes entries, compare WPForms » Entries with your inbox now and then.
Formcrier can be that second way. It sends each WPForms submission to your phone on WhatsApp, a text, Telegram, Slack or Microsoft Teams within seconds, separately from your site's email, and works with WPForms Lite and Pro through its WordPress plugin or a script tag. See Formcrier for WPForms. It's free for 10 alerts a month.
Frequently asked questions
The confirmation message only shows the form was submitted. The notification email is sent separately, so a submission can succeed while its email fails or lands in spam.
No. WPForms Lite sends entries by email and doesn't store them in WordPress. Lite Connect keeps a backup that you can see if you upgrade to a paid licence.
Yes. Enter several addresses in Send To Email Address, separated by commas. Every address gets the same email.
Usually not. At the time of writing, the free version includes mailers for Gmail, Brevo, Mailgun, SendGrid and others, plus the Email Test page. Email logs and the Microsoft 365 and Amazon SES mailers need Pro.
